In short: Agentia reads your emails only to draft replies in your style. Your emails are never used to train AI models, never sold or shared for advertising, and you can delete everything and revoke access at any time.
1. What Agentia reads
- The incoming emails the agent needs to reply to.
- A sample of your past replies, to learn your tone and wording.
- Your account information (name, email address, the name you give your agent) and your contact list.
- A copy of processed emails, drafts and attachments is kept in our database so you can approve them from the dashboard.
- If you fill out the beta sign-up form on this site: your name, your business, your email address and, if you provide them, the number of emails you receive per day and your industry. This information is used only to contact you about the beta.
Permissions requested from Google:
- Read your emails (
gmail.readonly): to find the emails to process and learn from your past replies. This permission is read-only: Agentia cannot change or delete your emails in Gmail. - Send emails on your behalf (
gmail.send): used only to send a reply you have approved yourself. - Basic identification: your email address and Google profile, to sign you in.
Permissions requested from Microsoft (Outlook, Hotmail and Microsoft 365 accounts):
- Read your emails (
Mail.Read): to find the emails to process and learn from your past replies. Agentia cannot change or delete your emails in Outlook. - Send emails on your behalf (
Mail.Send): used only to send a reply you have approved yourself. - Basic identification (
User.Read): your email address and name, to sign you in. Offline access (offline_access) lets Agentia check for new emails when you are not in front of the screen.
2. What we do with it
- Draft a reply for each relevant email.
- Make the agent more faithful to your style (and yours only).
- Keep the service running and secure.
3. What we don't do
- We don't sell your data.
- We don't use it for advertising.
- We don't use it to train AI models, and our AI provider (Anthropic) is also prohibited, under its commercial terms, from training its models on content sent through its API.
- We never mix one business's data with another's.
4. Where your data is stored
- Database: Supabase, in a data centre in Canada.
- App hosting: Vercel. The app's functions, which process your emails, run in Montréal, Canada (region
yul1). - AI processing: email text is sent to Anthropic (Claude) only to produce the reply. Anthropic generally deletes this data from its servers within 30 days of receiving it, except as provided in its terms (for example, a usage policy violation or a legal obligation).
- Data is encrypted in transit (HTTPS). At Vercel, data is also encrypted at rest. The Supabase database is encrypted at rest (AES-256).
5. What is deleted, and when
- Processed emails (replies sent, rejected or ignored), with their drafts and attachments: deleted automatically 30 days after they were received. Only Agentia's copy is deleted: your full history stays available in your Gmail or Outlook inbox.
- Emails still waiting for action from you (reply to confirm, scheduled send, error): kept until you handle them, then deleted under the rule above.
- Samples of your past replies and the agent's lessons (used to learn your style): kept as long as your account is active, so the agent keeps learning.
- On request or when your account is closed: all your data is deleted within 30 days.
- You can revoke access at any time: for Gmail, in your Google account's security settings; for Outlook, at account.microsoft.com › Privacy › Apps (or through your organization's administrator).
6. You stay in control
- The agent writes drafts: you approve every reply before it is sent.
- You can ask to access, correct or delete your data.
- The CB Agent team does not look at your emails, unless you ask us to for support.
